Send a Copy action

When configuring a content rule, it is possible to include an action that sends copies of messages to a specified email address or to a relay server. These actions are:

These actions enable you to archive messages detected by a content rule. You can specify the conditions required for the message to be copied, the recipient of the copied message and whether you want to send the Original or Modified version of the message (for BCC), or select the Server from the list (for Relay Server).

These actions can be applied to all content rules.

 

Copies of emails are sent to the selected email address without encryption. If the rule is used on a mail route with encryption enabled, you should make sure that performing these actions will not leak sensitive information via copied messages.

 
  • You can add multiple Send a Copy actions to a content rule, including combinations of Send a Copy (BCC) and Send a Copy (Relay Server). This enables you to archive messages to a number of separate locations, if required.
  • There are also two content rule templates specifically designed to archive messages to a relay server or email address. See Archiving Copies of Messages for more information.

Apply the action to a content rule

  1. Inside the What To Do? area of the content rule, click New next to the What Else to Do? action.
    The Add a What to Do Action dialog appears.
  2. Select the action from the list.
    The action is automatically added to the What Else To Do? area.
  3. Close the Add a What to Do Action dialog.

Configure the action (Relay Server)

  1. Beside the Send a Copy (Relay Server) action in the What Else To Do? area, click Click here to change these settings.

  2. Specify the conditions for When the copy is sent:

    • If the "What to Look For?" conditions are met
    • If the conditions are met AND the disposal action is performed
    • If the conditions are met BUT the disposal action is not performed
  3. Specify the relay server by selecting an existing Server from the list.

    		 You can add or modify a relay server using the Relay Servers tab under Manage Disposal Actions page.
  4. Click Save.

Configure the action (BCC)

  1. Beside the Send a Copy (BCC) action in the What Else To Do? area, click Click here to change these settings.

  2. Specify the conditions for When the copy is sent:

    • If the "What to Look For?" conditions are met
    • If the conditions are met AND the disposal action is performed
    • If the conditions are met BUT the disposal action is not performed
  3. Specify the recipient of the copied messages by entering an email address in the Email recipient field.
  4. Specify whether the Message is sent Modified or is the Original copy of the message.
  5. Click Save.

 

To edit a previously created Send a Copy action, follow the steps in Configure the action (Relay Server) to change the current settings.

Remove the action from a content rule

Inside the What To Do? area, click next to the What Else to Do? action you want to remove and confirm the deletion.
