Digest Messages

The PMM digest message is an email sent on a scheduled basis to end users who have messages held in PMM-enabled message areas. The digest messages are created only for internal addresses.

An end user receives a digest message with details of the following messages in his or her PMM areas:

End users can then release or delete these messages.

Digest Template

You can determine the sender's email address, subject and a block of text that appears at the top of the digest message.

  1. Navigate to System > PMM Settings > Digest Messages. The Digest Messages page is displayed.
  2. In the Digest Template panel, click Click here to change these settings.
  3. By default, the digest will appear to have been sent from the Gateway administrator email address. To use a different email address, enter the required email address in the From.
  4. Supply a Subject for the digest. This will appear as the message subject for all digests.
  5. If required, enter some text to appear at the top of the digest message, such as a brief instruction note.

Ensure that in a mixed-language environment, texts in the Subject and the text box are suitable for all your users.
  6. Click Save.
  7. In the task panel, cick Preview a PMM Digest Message to view a sample digest including the information you have specified.

A separate browser window opens to display an example digest as it would appear when opened from the end user's inbox. The user clicks the links to release (deliver) individual messages or delete the remaining messages in a message area.

The contents of Sender and From are often the same, but can differ to a degree - for example, when a message has been sent from a mailing list, or has been redirected. They can also differ if either has been faked by a spammer. By comparing them in context, users can reach better-informed trust decisions.

    Examples:

    Sender From Comments Trusted
bounce@digimags.co.uk "Digimags" <craig@digimags.net> Digimags is present in both Sender and From Yes
480-lwa-970.0.82030@em-sj-77.mktomail.com <480-lwa-970.0.82030@em-sj-77.mktomail.com> Thales <Information@thalesesecurity.com> Marketo is a well-known service for sending business email Yes
adahdhadhk@gmail.com CEO <CEO@Mycompany.com> Sender claims to be Gmail, but From appears to be CEO No

Settings

As part of configuring PMM, you need to configure the parameters that define how the PMM service functions.

  1. Navigate to System > PMM Settings > Digest Messages. The Digest Messages page is displayed.
  2. In the Settings panel, click Click here to change these settings.
  3. Edit the settings to specify your PMM service parameters:

    • Submit the digest messages at a rate of: Determines the rate at which the Gateway submits digest emails to the mail server for delivery. The value must be between 50 and 1,000 digests per minute. If you have a large PMM community and you find that the issuing of the digests is slowing your mail delivery system, you may want to reduce the submission rate.
    • Expire digest messages after: If you select this check box, digest messages will expire after the specified number of days. The value must be between 1 and 365 days. Once a digest has expired, users will be unable to manage their PMM messages using that digest. A dialog prompts the user to use a more recent digest.
  4. Click Save.
  5. Apply the configuration.

Digest Schedule

As part of configuring PMM, you need to define a schedule for sending out the PMM digest messages.

  1. Navigate to System > PMM Settings > Digest Messages. The Digest Messages page is displayed.
  2. In the Digest Schedule panel, click Click here to change these settings.

The schedule chart defines when the Gateway issues digest messages to users. The following icons also determine how to distribute a digest.

Full distribution: Issues a digest to all users with messages held for PMM.

Partial distribution: Issues a digest only to those users with new messages held for PMM since they were last sent a digest.

    Clear: No digest is issued.

Click the same time slot to cycle through these options.
  3. To schedule a digest for a particular time period, click that period on the chart. Click repeatedly on the same period to cycle through the options for a Full Distribution, Partial Distribution, or no digest (clear). Typically you might want to schedule a full distribution digest at the beginning of each day, and a partial distribution digest later in the day.
  4. Click Save.
  5. Apply the configuration.

If you change any configuration or policy settings, you must Apply Configuration for the new settings to take effect. You can do this either from the Changes Made panel, or System > ConfigurationApply Configuration. See Apply new configuration for more information.

If you use Peer Gateways (i.e. when multiple Gateways are peered), any configuration changes from a local Gateway can then be applied to all the peers at the same time. See Peer Gateways for more information.
