The Mail Express Internal Web Portal is provided for users to send files using Mail Express without Outlook (For example, if you are working remotely and do not have access to Outlook or the mail server.) The administrator account cannot send files using the Internal Web Portal when only verified users are allowed; in that case, you must create a separate user account.
The applet, if enabled, allows unlimited attachment size, depending on the limit the administrator has set for the portal. |
To send file using the Internal Web Portal
If you do not have an Internal user account, refer to Requesting Access to the Internal Portal.
After you have an Internal user account, do one of the following:
Open a web browser and navigate to the web address of the Internal web portal (e.g., https://mymailexpress.org/internal).
Open a web browser and navigate to the web address of the default landing page (e.g., https://mymailexpress.org). If a welcome page appears and displays icons with which to connect to the Drop-Off portal or Internal Portal, click Internal Portal.
Provide your Username and Password, then click Sign in. The email form appears. The options that appear depend on the administrator's configuration of the portal.
The sender's address is completed for you and is not editable.
Provide the recipient's email address. Multiple email addresses can be separated by commas or semicolons.
Click Add CC and Add BCC to add copy recipients.
Provide a descriptive "title" for your email. "Here are the files" is too generic and could get lost in multiple e-mails. "Attached are the documents for Friday's Widget discussion" is more descriptive and easier to identify in a search. You are allowed up to 256 characters.
The Attachments area is used to choose one or more files and/or folders to upload. (Up to 100 attachments are allowed per email.) If you are using the Java applet, you can select multiple files at one time. Before you can click and drag files and folders to the Attachments area, Java must be installed and enabled in your browser. The applet will remember the location files were loaded from and open the file browser to the same location for the duration of the session.
In the Message box, further describe the purpose of the email. The Message box allows up to 10,240 total characters. You cannot use HTML tags to format the message. However, you can format text using the formatting toolbar. Select the text to which you want to apply formatting, then click a button on the toolbar to apply the formatting. The formatting toolbar provides the same options as standard word processing applications: bold, italics, strike through, underline, paragraph alignment, indent, subscript, superscript, numbering, bullets, paragraph styles (such as Paragraph and headings 1-6), font face (such as Arial; Times New Roman is the default), font size, and text color. Use the Clear Formatting button to remove formatting from selected text. You can expand the size of the message box by clicking and dragging the bottom right corner of the box. (Note: The number of visible characters allowed is reduced when you apply formatting.)
More options may be available depending on the administrator's settings and the type of account used to log in. Click the plus sign next to Message delivery options if you want to specify the following message options specific to this email:
Notify me when files are picked up—Select this check box to receive an email when the recipient downloads the files that you sent.
Send message body securely using Mail Express—Select this check box to encrypt the email message body.
Send Reply link—When the Mail Express administrator has enabled this option, recipients can click a link in the email to reply to your email.
Link expiration—Select this check box if you want to specify an expiration that is more strict that what is defined on the server.
Expire links immediately after first use—(in v4.2.2 and later) Select this check box to specify that any attachments will immediately expire upon first visit (single use link), so that no one else can [subsequently] download the file.
Send Pick-Up Page link only—Select this check box if you want to send only a link to the Pick-Up Page, not links to the attachments.
Require authentication to pick up—Select the check box to require the recipient to log in to their Mail Express account when they pick up the email. If they do not have an account on Mail Express, they are prompted to create one.
Require password to download and upload files—Select this check box and specify a password if you want the recipient to provide a password before being able to download or upload files. The sender must provide the password to recipients in a separate email, over the phone, IM, etc.
Language of email—Click the list box to specify the language of the email. The language pack for that language must be installed.
Click Send.
If the To, Subject, or Message boxes are empty, the send will fail.
A successful send receipt message appears if the send was successful.
To send another package, click Send.
To receive a copy of the receipt in email, click email. The email is sent to your email address that was specified in the From box of the original email.
