Managing the Repository

Overview

Automate is the center of communication between connected agents and the development clients. It is also the repository of information and objects concerning the creation, modification, management, organization, and execution of each automated process. Objects created in Server Management Console (SMC), such as tasks, processes, users, events & conditions are automatically stored in the Repository, a storage area that houses all existing workflow objects for future reuse. The Repository provides a centralized location where you can conveniently store newly created objects as well as access preexisting ones. Complete workflow objects are also stored and accessed from the Repository's Workflows section.

Storing objects in the Repository does away with tedious procedures such as recreating tasks or conditions each time you create a new workflow. This concept allows you to use an individual task in on or more workflows. You can easily administer, modify, and quickly incorporate these objects into new or existing workflows from the Repository. If you update a task, process, or condition in use by one or more workflows, the update automatically appears in all corresponding workflows. For example, if you use a Schedule event to start fifteen different workflows every Tuesday and Thursday morning at 8:00 AM, and you need to change the schedule to Monday, Wednesday, and Friday morning, you can make the change to a single Schedule event in the Repository and update all workflows.

Users may prefer the option to create standalone tasks, conditions, or processes (not initially incorporated) and add them to a workflow later. For this reason, you can create and edit tasks, conditions, and processes directly in the Repository rather than performing such procedures from the Workflow Designer.

To create and configure a new workflow from the Repository

  1. On the Server Management Console's navigation bar, select Repository.

  2. Select the Workflows folder.

  3. Select NEW. The Add Workflow Wizard appears which will guide you through creating a new workflow.

  4. To modify the workflow's properties, select the workflow and then select MORE > Properties. You can also right-click the workflow's icon, and then select Properties.

  5. To add objects to the workflow in the Workflow Designer, select EDIT (see Building a Workflow for more information).

To create and configure a new task from the Repository

  1. On the Server Management Console's navigation bar, select Repository.

  2. Select the Tasks folder.

  3. Select NEW.

  4. To modify the task's properties, select the task and then select MORE > Properties. You can also right-click the task's icon, and then select Properties.

  5. To add steps to the task in the Task Builder, select EDIT (see Adding Task Steps for more information).

To create and configure a new condition from the Repository

  1. On the Server Management Console's navigation bar, select Repository.

  2. Select the Conditions folder.

  3. Select NEW. The Add a Condition window appears.

  4. Select the desired condition, and then select OK.

  5. To modify the condition's properties, select the condition and then select MORE > Properties. You can also right-click the condition's icon, and then select Properties.

  6. To set the condition's properties, select EDIT.

  7. Select Set Properties, and then set or enter the corresponding data for the condition's properties (see Events & Conditions for more information).

  8. Select UPDATE.

To create and configure a new process from the Repository

  1. On the Server Management Console's navigation bar, select Repository.

  2. Select the Processes folder.

  3. Select NEW.

  4. To modify the process's properties, select the process and then select MORE > Properties. You can also right-click the condition's icon, and then select Properties.

  5. To add or modify the process command entry, select EDIT (see Processes for more information).

  6. Select UPDATE.

ClosedAccessing existing Repository objects from the Server Management Console

The Repository is accessible from Server Management Console (SMC) by selecting Repository from the Server Management Console's navigation bar. The Repository appears in the main window and workflows, tasks, conditions, and processes are separated into folders in the side panel. Selecting the Workflows, Tasks, Conditions, or Processes folder will populate the main panel with those objects as well as any existing User Folders. You can also create subfolders in the main panel to better categorize objects saved to the Repository.

To access an existing object's properties from the Repository

  1. On the Server Management Console's navigation bar, select Repository.

  2. From the side panel, select the desired object category folder (Workflow/Task/Process/Condition).

  3. Select the desired object, and then select MOREProperties. You can also right-click the object's icon, and then select Properties.

NOTE: Non-licensed events and conditions will appear dimmed while viewing them in the Repository. Selecting an unlicensed object will generate an error.

You can perform various operations within the Repository such as manually running a task or process, viewing, or editing an existing task or process, creating multiple folders to better organize stored objects, permanently deleting objects, and much more.

To manually execute a workflow, task, or process object

  1. On the Server Management Console's navigation bar, select Repository.

  2. Select the Workflows, Tasks or Processes folder to populate any corresponding preexisting workflow, task, or process objects in the main view.
  3. Select the desired object, and then select RUN.

To view or edit a workflow

  1. On the Server Management Console's navigation bar, select Repository.
  2. Select the Workflows folder to populate preexisting workflow objects in the main panel.
  3. Select the desired workflow, and then select EDIT.

To view or edit task steps

  1. On the Server Management Console's navigation bar, select Repository.
  2. Select the Tasks folder to populate preexisting task objects in the main panel.
  3. Select the desired task, and then select EDIT.

To view or edit condition settings

  1. On the Server Management Console's navigation bar, select Repository.
  2. Select the Conditions folder to populate preexisting condition objects in the main view.
  3. Select the desired condition, and then select EDIT.

To view or edit a process entry

  1. On the Server Management Console's navigation bar, select Repository.
  2. Select the Processes folder to populate preexisting process objects in the main view.
  3. Select the desired process, and then select EDIT.

To create a subfolder and add objects to it

  1. Select the Workflows, Tasks, Processes or Conditions folder.

  2. Select MORE > New Folder. You can also right-click anywhere in the folder area, and then select New > Folder.

  3. You can add objects to the new folder by creating a new object in the folder and dragging and dropping existing objects from other folders or copying and pasting existing objects.

To permanently delete a workflow, task, condition, or process object or subfolder

Right-click the object or subfolder, and then select Delete.

To rename a workflow, task, condition, or process object or subfolder

Right-click the object or subfolder, and then select Rename.

To view or manage the general properties of a workflow, task, condition, or process object or folder/subfolder

Right-click the object or folder, and then select Properties.

To set security permissions on a workflow, task, condition, or process object or folder/subfolder

  1. Right-click the object or folder, and then select Properties.
  2. From the side panel, select Security. For information on security permissions, see Security (Permissions).

NOTE: In addition to the procedures mentioned above. selecting MORE or right-clicking an object will present other available options, such as Export, Import, Rename, Disable, or Enable (to name a few).
